Privacy Policy

Last Updated: October 27, 2025

Look, we get it - nobody really enjoys reading privacy policies. But here's the deal: we're straight-up transparent about how we handle your info at Aetherion Frontier. We've tried to keep the legal jargon to a minimum and just tell you what's what.

When you train with us or sign up for membership, we're gonna need some basic stuff to keep things running smooth:

  • Personal Details: Your name, email, phone number, date of birth, and address. Pretty standard stuff.
  • Health & Fitness Info: Any injuries, medical conditions, or fitness goals you share with us during consultations. This helps us keep you safe and design programs that actually work for you.
  • Payment Data: Credit card info, billing details - whatever you use to pay for sessions or memberships.
  • Usage Stats: When you check in, which classes you attend, how often you're hitting the facility. Helps us understand what's working and what ain't.
  • Communications: Emails, texts, or messages you send us. Sometimes you'll drop feedback or questions that are worth keeping track of.

We don't collect anything weird or unnecessary - just what we need to run a proper training facility and give you the best experience possible.

Here's where your data actually goes and why we need it:

  • Program Design: Creating personalized strength & conditioning plans, Olympic lifting coaching, and nutrition guidance that matches YOUR body and goals.
  • Safety First: Keeping track of any health concerns so our coaches can modify movements and keep you injury-free.
  • Scheduling & Access: Managing your class bookings, facility access, and training sessions.
  • Billing: Processing payments, managing memberships, sending receipts. The money stuff.
  • Updates: Sending you schedule changes, new program launches, facility updates, or special training opportunities.
  • Improvement: Analyzing trends to figure out what programs are crushing it and where we can level up our services.

Bottom line? Everything we collect serves a purpose - helping you push beyond your limits safely and effectively.

Your info isn't just sitting around on some random spreadsheet. We take security seriously:

  • Encryption: Payment details and sensitive health data are encrypted both in transit and at rest.
  • Restricted Access: Only our core team members who actually need your info can access it. Not everyone at the gym can browse member files.
  • Secure Systems: We use industry-standard security protocols and regularly update our systems to keep hackers and data breaches at bay.
  • Physical Security: Paper records (yeah, we still have some) are locked up tight in secure areas.
  • Regular Audits: We periodically review our security measures to make sure we're staying ahead of potential threats.

Real talk though - no system is 100% bulletproof. But we're doing everything in our power to keep your data locked down.

We're not in the business of selling your data. Period. But there are a few situations where we might need to share certain info:

  • Payment Processors: When you pay for services, your payment info goes through secure third-party processors. They're PCI-compliant and held to strict standards.
  • Service Providers: Sometimes we use tools for scheduling, email communications, or facility management. These providers only get what they need and are contractually bound to protect your data.
  • Legal Requirements: If we're legally required to disclose info (like a court order or regulatory request), we gotta comply. It's rare, but it happens.
  • Emergency Situations: If there's a medical emergency and we need to share health info with first responders, your safety comes first.
  • Business Transfers: In the unlikely event we sell or merge the business, your data might transfer to the new owner. But they'd be bound by this same policy.

Again - we're never selling your email to spam lists or sharing your fitness progress with random companies. Your trust matters to us.

It's your data, and you've got rights. Here's what you can do:

  • Access: Want to see what info we've got on you? Just ask. We'll show you what we're holding.
  • Correction: If something's outdated or wrong (like an old address or phone number), let us know and we'll fix it.
  • Deletion: Want us to delete your data? We can do that, though we might need to keep some records for legal or accounting purposes.
  • Opt-Out: Don't wanna get promotional emails? Unsubscribe anytime. You'll still get essential stuff like billing notices and schedule changes.
  • Data Portability: Need your data in a format you can take elsewhere? We'll export it for you.
  • Withdraw Consent: If you gave us permission for something specific (like sharing progress photos), you can take that back whenever.

To exercise any of these rights, shoot us an email at info@aetherionfrontier.info or call us at (604) 892-7341. We'll handle it within a reasonable timeframe.

Our website uses cookies - those tiny files that remember stuff about your visit. Here's the breakdown:

  • Essential Cookies: These keep the site functioning properly. Without them, things like logging into your member portal wouldn't work.
  • Analytics: We track general site usage to understand what pages people visit, how long they stay, that kind of thing. Helps us improve the user experience.
  • Preferences: Remember your settings so you don't have to re-enter them every visit.

Most browsers let you control or block cookies. Just know that blocking certain ones might make parts of the site not work as smoothly.

We don't use creepy tracking pixels or sell your browsing data to advertisers. That's not our vibe.

We don't keep your data forever. Here's our general approach:

  • Active Members: As long as you're training with us, we'll keep your info current and accessible.
  • Former Members: After you leave, we'll keep basic records for a reasonable period (usually 7 years) for accounting, legal, and tax purposes. Health and fitness data gets archived sooner.
  • Marketing Lists: If you unsubscribe from our emails, you're off the list. We might keep a record that you unsubscribed so we don't accidentally add you back.
  • Legal Holds: If there's an ongoing legal matter, we'll keep relevant data until it's resolved.

Once data's no longer needed, we securely delete or anonymize it. We're not hoarders.

Sometimes our website might link to other sites - maybe equipment vendors, nutrition resources, or partner organizations. Here's the thing: we don't control those sites.

Once you click away from aetherionfrontier.info, you're subject to their privacy policies, not ours. We can't be responsible for how they handle data.

If you're heading to another site, take a sec to check out their privacy practices. Better safe than sorry.

Our programs are designed for adults, but we do occasionally train athletes under 18 with parental consent.

If you're a parent or guardian enrolling a minor, you'll be the primary contact and responsible for their account. We'll collect the same info we would for any member, but we'll communicate primarily with you.

We take extra care with youth athlete data and always require guardian consent before collecting any personal information from someone under 18.

Privacy laws evolve, our business grows, and sometimes we need to update this policy. When we do, we'll:

  • Update the "Last Updated" date at the top of this page
  • Post the changes right here
  • If it's a major change, we'll send out an email or post a notice at the facility

It's worth checking back here once in a while, especially if it's been a minute. You can always reach out if you've got questions about what changed and why.

Look, if anything in this policy doesn't make sense, or if you've got concerns about how we're handling your data, don't keep it to yourself. We want to hear from you.

We'll get back to you quickly and work through whatever's on your mind. Your privacy matters, and we're committed to getting it right.
